Further details of the process below.

Selecting the right tenant is one of the most important decisions a landlord can make. A carefully chosen tenant helps protect your property, ensures consistent rental income, and creates a smoother, more secure tenancy. Equally important is selecting the right letting agent — one with the experience, knowledge and professional standards to act in your best interests at every stage of the letting process.

As a professional UK letting agent, at Meridian Property we provide a high level of service backed by regulation and accountability. We are regulated by RICS and ARLA Propertymark, giving landlords confidence that we operate to the highest industry standards. All tenancy deposits are protected with the Deposit Protection Service (DPS), and our client monies are safeguarded through the RICS Client Money Protection Scheme, ensuring transparency, security and peace of mind at all times.

Step One: Your Property & Our Expertise

The first step in letting your property starts with getting to know you and your home.

We’ll arrange a convenient visit to your property, where one of our experienced local agents will carry out a detailed assessment. Using our in-depth market knowledge and understanding of current demand, we’ll provide an accurate market valuation designed to maximise your rental return while attracting the right tenants.

During this visit, we’ll take the time to understand your goals as a landlord and talk you through the range of services we offer — from tenant-find through to fully managed solutions. We’ll explain what ongoing management involves, including rent collection, maintenance coordination, inspections, and tenant communication, so you can choose the level of support that suits you best.

We’ll also guide you through the legal and regulatory requirements of letting a property, such as safety certifications, compliance obligations, and your responsibilities as a landlord. Whether you’re new to letting or have an established portfolio, we’ll make sure everything is clear, up to date, and fully compliant.

Finally, we’ll outline the next steps in the process — from preparing your property for the market and marketing it effectively, to tenant selection and moving day. Throughout the journey, we’ll walk you through each stage, offering clear advice and ongoing support, so you can let your property with confidence.

Whether this is your first rental or one of many, we’re here to make the process straightforward, transparent, and stress-free from the very beginning.

Choose the Level of Service that Works for You

Every landlord is different, which is why we offer flexible service options to suit your needs.

You can choose our Fully Managed Service, where we take care of everything from day one — tenant communication, rent collection, maintenance coordination, and ongoing compliance — giving you complete peace of mind.

Alternatively, our Tenant Find Only Service is ideal if you’re happy to manage the property yourself but want expert support in securing the right tenant. We’ll handle marketing, viewings, referencing, and move-in, then hand everything over smoothly.

Whichever option you choose, our support doesn’t stop there. We’re always just a phone call away if you need advice, guidance, or a helping hand. You’ll never be left to figure things out on your own.

Flexible service, clear communication, and support when you need it — that’s how we work.

Marketing your property

Once your property is ready to let, the next step is effective marketing to ensure maximum exposure and the right tenant.

We arrange high-quality photographs to present your property at its best. Your listing is then promoted across major property portals and shared through our social media channels to reach a wide and active audience of prospective tenants.

We also erect a To Let board (where permitted) to attract local interest and highlight availability. In addition, your property will be offered directly to tenants who are already registered with us and actively viewing similar properties, helping to generate early enquiries and viewings.

Our multi-channel marketing approach is designed to secure strong interest quickly, reduce void periods, and achieve the best possible outcome for you.

Viewings

Once your property is ready for market, we handle all viewings on your behalf to ensure it is presented at its very best.

We arrive early to prepare the property, opening curtains, switching on lights where appropriate, and making sure everything looks welcoming and well presented. During the viewing, we conduct a professional, guided tour, highlighting key features of the property and answering any questions prospective tenants may have.

Our experienced team represents your property positively and professionally at all times, helping applicants imagine it as their future home.

After each viewing, we provide you with prompt, honest feedback, including tenant interest and any useful comments, so you remain fully informed and can make confident decisions moving forward.

Negotiations & Referencing

Once an application has been received for a property, we move into the negotiation stage. At this point, we liaise between the landlord and the prospective tenant to agree the terms of the let, including the rent, proposed move-in date, length of tenancy, and any special conditions.

When terms have been agreed by all parties, we will formally accept the application and begin the referencing process. This involves carrying out comprehensive checks to ensure the tenant is suitable for the property, giving landlords confidence and peace of mind before the tenancy progresses further.

We keep all parties informed throughout this stage to ensure the process runs smoothly and efficiently, helping to move the tenancy one step closer to completion.

Preparing your property

Your property should be thoroughly cleaned, well maintained and free from hazards before marketing begins. Just as importantly, there are a number of legal obligations that must be met to ensure your tenant’s safety and to keep you fully compliant with current legislation. These include requirements around gas and electrical safety, energy efficiency, smoke and carbon monoxide alarms, and general fitness for habitation.

We’re here to help every step of the way. Our team can advise you on exactly what is required, highlight any potential issues, and guide you through the necessary checks and certifications. By getting everything right from the start, you can let with confidence, knowing your property is safe, compliant, and ready to welcome your next tenant.

Referencing

Once an application has been agreed, the next step in the letting process is referencing. To ensure peace of mind for both landlords and tenants, we outsource this stage to a trusted, professional referencing agency.

The referencing agency will carry out a comprehensive assessment, which typically includes a full credit check, verification of employment and income, a current and/or previous landlord reference, and confirmation of previous addresses. They will also assess affordability to ensure the tenancy is sustainable for the duration of the agreement.

Using an independent referencing provider allows us to deliver a thorough, impartial and efficient service, helping to protect all parties involved and ensuring the tenancy can proceed smoothly and with confidence.

Preparing the tenancy agreement & inventory

Once suitable tenants have been agreed, the next step is to prepare all the essential documentation to ensure a smooth and secure start to the tenancy.

We will draft a comprehensive tenancy agreement that clearly sets out the rights and responsibilities of all parties, along with any additional documents required for compliance and transparency. This ensures both landlords and tenants are fully informed before the tenancy begins.

At this stage, we also arrange for a professional inventory to be carried out. The inventory provides a detailed, photographic record of the property’s condition and contents at the start of the tenancy. This includes meter readings, confirmation and testing records for smoke and carbon monoxide alarms, and the location of meters and stop cocks.

This detailed report is a crucial safeguard for both landlords and tenants and plays an essential role in resolving any deposit disputes fairly and efficiently at the end of the tenancy. By ensuring all paperwork is thorough and accurate from the outset, we help protect your investment and provide peace of mind throughout the tenancy.

Deposit and First Months’ Rent

Once the tenant(s) has been successfully referenced and a moving date agreed, the next step is for them to secure it by paying the first month’s rent, along with the tenancy deposit. At this stage, we will ensure that all relevant documentation, including the tenancy agreement and any legally required notices, is provided to the tenants before the start of their tenancy. This ensures a smooth and transparent process, giving everyone peace of mind as your tenants move into the property.

Step 10: Move in

The next step in the letting process is Move In. On the day your tenants start their tenancy, we’ll meet them at the property to ensure everything is set up smoothly and professionally.

During this visit, we will:

Sign all relevant documentation and provide copies for both landlord and tenant.

Provide a full statement of account and ensure the deposit is securely protected.

Read meters to ensure accurate utility billing from day one.

Share essential information, including the location of the stopcock, meters, and any instruction manuals for appliances.

Provide emergency contact details and utility provider information, so tenants know exactly who to contact if needed.

From this point onwards, landlords can rest assured that we will look after both your tenant and your property, keeping you fully updated every step of the way. This ensures the tenancy starts on the right foot, giving everyone peace of mind.
